ASHBROOKE HOUSE WEDDING TERMS & CONDITIONS

At the time of booking, Ashbrooke House will provide you with a copy of these Terms and Conditions to sign. Once signed they must be returned to Ashbrooke House management.

All reservations are made subject to the following minimum conditions:

CONFIRMATION & GUEST NUMBERS

1.1 Bookings are only secured on receipt of 50% deposit payment.

1.2 A booking is only confirmed when a copy of this wedding contract (signed by you the wedding couple) is countersigned on behalf of Ashbrooke House and dated. This contract must be returned to the Ashbrooke manager, signed by the wedding couple within 14 days from the date of issue. Failing to comply with this will result in the release of your chosen date. We will provide you with a copy of the contract once we have countersigned it. This along with your deposit will confirm your booking.

1.3 The contract shall specify the anticipated number of adult/child guests for the event and the agreed minimum and maximum numbers of adult/child guests attending the event. The contract maximum represents the maximum number of guests you guarantee will attend your wedding and Ashbrooke House has calculated its charges on this basis.

PAYMENT

2.1 Full payment on the account must be paid three months prior to arrival.

2.2 A refundable Damage Deposit of £500 is payable two weeks before arrival.

2.5 Prices quoted in this brochure are valid at time of going to print and may be subject to changes and annual increases. Notice of any such changes or increases will be given as early as practicable. Prices are subject to Government VAT increases.

CANCELLATION

2.3 Ashbrooke House requires a 50% deposit on booking which will act as a deposit. There will be a 14-day cooling off period within which time a full refund can be made should the couple have a change of plans. If you cancel after the 14-day cooling off period, no refund will be given. Full payment is required three months in advance of your wedding with the afore mentioned Damage Deposit (2.2) due four weeks before your wedding.

ASHBROOKE HOUSE RESERVES THE RIGHT TO CANCEL THE EVENT IN THE FOLLOWING CIRCUMSTANCES:

• Ashbrooke House believes the booking might prejudice the reputation of the Estate.

• Guests attending the event behave in any way considered to be detrimental, offensive or contrary to normal expected standards of behaviour.

• In circumstances where due to public safety concerns, Ashbrooke House deem the cancellation of a booking necessary, or Ashbrooke House is instructed by a Public Body to close for reasons such as the outbreak of a flu epidemic or other public safety issues.

FORCE MAJEURE

• Under no circumstances will Ashbrooke House be liable in circumstances where Ashbrooke House is unable to comply with its obligations to the couple as a result of a Force Majeure Event. A Force Majeure Event shall include any circumstances which are outside the reasonable control of Ashbrooke House, including but not limited to war, civil commotion, industrial dispute, fire and flood.

• Ashbrooke House shall not incur any liability to the couple arising out of a Force Majeure Event, nor shall Ashbrooke House incur any liability to a couple for the cancelation of a booking due to public safety concerns.

• Ashbrooke house will not be liable under any circumstances for any marquee, stretch tents or other wedding embellishments on the grounds. We suggest that couples take out insurance to cover eventualities such as extreme weather or damage to tents or marquees during the time they are erected on site. We will request that you have this insurance before we allow a marquee to be erected on site.

CHRISTMAS / NEW YEAR'S EVE & NEW YEAR'S EVE AND DAY

• Restrictions and conditions and price increases may apply on bank holidays and over the Christmas and New Year periods.

GENERAL

• It is the responsibility of the wedding couple or signatory of this document to return Ashbrooke House and grounds to its original state. The Terms and Conditions have a detailed description of how the property must be left on departure.

• Only guests staying in Ashbrooke House may use the house, during the wedding day, this will be the 16 guests booked in on day one.

• Receptions for up to 50 guests may take place in Ashbrooke House only with prior agreement and with the additional hourly cost as stated in the attached brochure. This can only be booked when included with a wedding package booking.

• Ashbrooke House shall not be liable for any breach of the terms and conditions or any delay or failure in providing services as a result of causes beyond its reasonable control including (but not limited to) floods, gas leaks, strikes, delays in transportation, failure of services or inaccessibility, a force majeure event.

• Check-in time at Ashbrooke House is 3pm unless otherwise agreed. Check-out time is 11am unless otherwise agreed. Earlier check-in and check-out times can be negotiated and will be charged accordingly with exception of ‘Bloody Mary Morning’ which is included in The Thoroughbred and Kestrel packages.

• No smoking is allowed anywhere inside Ashbrooke House or inside The Tack Room.

• In the case of spoilage or damage, the Damage Deposit of £500 will be withheld.

• The wedding couple must observe Ashbrooke House’s policy with regard to noise and behaviour. If the booking includes accommodation at Ashbrooke house then the wedding couple are responsible for adhering to the Ashbrooke house terms and conditions for accommodation. Ashbrooke house holds the wedding couple responsible for any damages caused to the premises or grounds by the wedding couple or their guests. Only the 16 guests staying at Ashbrooke house are allowed access to the house during the wedding day.

• The prior consent of Ashbrooke House must be obtained for any entertainment or service contracted for the event by the wedding couple, all of which must comply with statutory codes and regulations.

• All electrical connections or take-offs required during the wedding and attached to the standard Ashbrooke system must be approved by the Manager of Ashbrooke House before use.

• Ashbrooke House shall not be liable for any breach of the terms and conditions or any delay or failure in providing services as a result of causes beyond its reasonable control including (but not limited to) floods, gas leaks, strikes, delays in transportation, failure of services or inaccessibility.

• Marquee erection and dismantling is entirely the responsibility of the wedding couple or signatory to this document. Damage to the grounds will result in the loss of the damage deposit.

• Children are welcome to attend the wedding celebration but will be included in final numbers given, the same as an adult. Children are asked not to access the yard and farm area; they must be accompanied by an adult at all times.

• In all clauses above, the wedding couple or signatory to this document is the person/persons organising and paying for the event or the client.

 • The signatory of this document takes on the full responsibility to adhere to all the clauses contained within it.

• We regret that fireworks are not permitted on the Estate.

CONFIDENTIALITY CLAUSE

Confidentiality and privacy of both parties is of the utmost importance to Ashbrooke House. The Parties each undertake and agree to:

• Only use, copy or otherwise replicate confidential information for the purposes envisaged under this Agreement and not to use the same for any other purpose whatsoever.

• The obligations of the Parties under this Clause shall survive the expiration or termination of this agreement for whatever reason.
